A Well Organized Client Database Could
Increase Your Sales By Over 50%
 

I was chatting with an agent and I asked him how he was storing and organizing his client list.
He told me he didn’t have a client list. Developing a database of past clients and potential
clients is the MOST IMPORTANT success factor for your real estate business.

Almost every agent who as ever archived remarkable sales numbers has a database of people
that they stay in touch with on a regular basis. Your client list is the most important asset your
business could have. If you can develop an efficient database to store your client data your
marketing opportunities will be endless.

 

What kind of information to collect?

Somewhere in your office or at home in your basement you have the name, phone number
and address of all your past clients. This is the foundation of your client database and a
major untapped source for thousands of dollars in new business and referrals. Over time
you should try to collect other information such as: email address, family and marital status,
age, hobbies, birth date and other relevant information.

You should also be collecting contact information on people who could become future clients.
Not everyone you meet today will be in the market to sell and buy right now, but they may be in
six months or a year. So I suggest that you include them in your database.

 

What kind of software to use?

To effectively set up your client database you will need a database that lets you manage and
update your list quickly and easily. One that allows you to use the
Information you collect to
implement a variety of marketing activities without having to spend hours and hours.

 

Contact management software such as Goldmine, Maximizer and my personal favourite ACT
are a great investment. In my opinion, purchasing one of these software programs is one of the
best investments you can make in your real estate business. These programs cost about
$200-$250.00, at your local office supply store. You might be able to save a few dollars if you
buy it online.


Don’t use Excel, Word or Outlook as your client database. If you do you’ll find out later that
your marketing avenues will be limited or you will end up wasting a lot of your valuable time.
Trust me on this one I’ve been down that road myself.

If you already have your client database in Excel or Outlook, most contact management
programs will allow you to import all your information in 5 minutes. So you won't have to
re-type all your data.
Using a contact management program is like having a personal assistant
without having to hire one at thousands of dollars a month.


You'll receive real benefits from developing your client database. 

When you develop a proper client database you can begin to communicate more  effectively
with your clients and be more productive. An efficient client database will help you develop
closer relationship with your clients and prospects. The bottom is you will increase your
repeat sales and get more referrals.

 Things Aren't Always What They Seem

The owner of a large factory decided to make a surprise
visit and check up on his staff. Walking though the plant, he
noticed a young man leaning lazily against a post.

"Just how much are you being paid a week?" said the owner
angrily.

"Three hundred bucks," replied the young man.

Taking out a fold of bills from his wallet, the owner
counted out $300, slapped the money into the boy's hands, and
said "Here's a week's pay -- now get out and don't come
back!"

Turning to one of the supervisors, he said "How long has
that lazy bum been working here anyway?"

"He doesn't work here," said the supervisor. "He was just
here to deliver a pizza!"
